Shipping Policy

1. Overview

Soontact Packaging Machinery Co., Ltd. ("Soontact," "we," "us," or "our") ships packaging machinery and equipment to customers worldwide. The Shipping Policy outlines our shipping procedures, delivery timeframes, and related terms.

2. Production and Shipping Timeframe

2.1 Lead Time

Standard production and shipping lead time is 15 to 20 days after receipt of full payment or agreed deposit. Lead times may vary depending on:

  • Machine type and customization requirements
  • Order quantity
  • Current production schedules
  • Availability of components and materials

We will confirm the estimated shipping date upon order confirmation.

2.2 Payment Before Shipment

Production commences only after payment has been received and verified. Shipment is arranged within 15 to 20 days following payment confirmation. For orders requiring a deposit and balance payment, final shipment is arranged after the balance is received.

3. Shipping Methods

3.1 Sea Freight

Sea freight is the standard shipping method for packaging machinery. We ship from major ports in China, primarily Shenzhen, Guangzhou, or Nansha Port. Transit times vary by destination, typically ranging from 15 to 45 days depending on the destination port.

3.2 Air Freight

Air freight is available for urgent orders or smaller shipments such as spare parts. Air freight costs are higher but significantly reduce transit time. Contact us for air freight quotations.

3.3 Rail Freight

Rail freight is available for shipments to Europe and Central Asia via China-Europe rail services. Rail freight offers a balance between cost and speed compared to sea and air freight.

3.4 Door-to-Door Delivery

Door-to-door delivery services can be arranged upon request. Additional charges apply for inland transportation and customs clearance services.

4. Shipping Terms (Incoterms 2020)

4.1 FOB (Free on Board)

Under FOB terms, Soontact is responsible for delivering machinery to the designated port of shipment and loading onto the vessel. Risk transfers to the buyer once goods are on board. Buyers are responsible for freight, insurance, customs clearance, and inland transportation at the destination.

4.2 CIF (Cost, Insurance, and Freight)

Under CIF terms, Soontact arranges and pays for freight and insurance to the destination port. Risk transfers to the buyer once goods are loaded onto the vessel at the port of origin. Buyers are responsible for customs clearance and inland transportation at the destination.

4.3 EXW (Ex Works)

Under EXW terms, buyers are responsible for all transportation, insurance, and customs procedures from our facility. Risk transfers to the buyer when goods are made available for pickup at our premises.

4.4 DDP (Delivered Duty Paid)

DDP terms can be arranged for select destinations. Soontact handles all shipping, insurance, and customs procedures, delivering machinery to the buyer's designated location. Contact us for DDP quotations.

5. Packaging

All machinery is professionally packaged for international shipping. Packaging methods include:

  • Wooden crates or plywood cases for heavy machinery
  • Palletized packaging with stretch wrap and strapping
  • Foam padding and protective materials for delicate components
  • Fumigation-treated wood packaging compliant with ISPM 15 standards

Custom packaging requirements can be accommodated upon request.

6. Shipping Documentation

We provide all necessary shipping documents, including:

  • Commercial Invoice
  • Packing List
  • Bill of Lading or Airway Bill
  • Certificate of Origin (upon request)
  • Fumigation Certificate
  • Other documents as required by the destination country

Buyers are responsible for informing us of any specific documentation requirements for customs clearance in their country.

7. Insurance

7.1 CIF and DDP Shipments

For CIF and DDP shipments, Soontact arranges cargo insurance covering the value of goods during transit.

7.2 FOB and EXW Shipments

For FOB and EXW shipments, buyers are responsible for arranging cargo insurance. We strongly recommend purchasing comprehensive cargo insurance to protect against loss or damage during transit.

7.3 Insurance Claims

In the event of damage or loss during shipping, buyers must file claims with the insurance provider. We will assist by providing necessary documentation and supporting information.

8. Customs and Import Duties

8.1 Buyer Responsibilities

Buyers are responsible for complying with import regulations in their country. Import duties, taxes, customs fees, and related charges are the responsibility of the buyer unless otherwise agreed under DDP terms.

8.2 Customs Delays

Soontact is not responsible for delays caused by customs inspections or clearance procedures. We recommend working with an experienced customs broker to facilitate smooth clearance.

9. Tracking and Communication

Once machinery is shipped, we provide tracking information and relevant shipping documents via email. For sea freight, we provide the Bill of Lading number and vessel details. For air freight, we provide the Airway Bill number. Buyers can track shipments through the carrier's website or freight forwarder portal.

10. Delivery and Inspection

10.1 Receiving Shipments

Upon arrival at the destination, buyers or their appointed agents should inspect the shipment for visible damage before signing delivery documents. Note any damage or discrepancies on the delivery receipt.

10.2 Reporting Damage

Report any visible damage to the carrier immediately upon delivery. Notify Soontact within 7 days of delivery with photographs and descriptions of the damage. For concealed damage discovered after unpacking, notify us within 30 days of delivery.

10.3 Claims

We will assist buyers in filing claims with carriers or insurance providers for shipping damage. Retain all packaging materials until claims are resolved.

11. Shipping Delays

While we make every effort to meet estimated shipping dates, delays may occur due to:

  • Production complications
  • Supply chain disruptions
  • Port congestion
  • Weather conditions
  • Government regulations or inspections
  • Force majeure events

We will notify buyers promptly of any anticipated delays and provide updated shipping estimates.

12. Refused or Unclaimed Shipments

If a shipment is refused or remains unclaimed at the destination, buyers are responsible for all resulting costs, including storage fees, demurrage charges, return shipping costs, and additional handling fees. We may deduct such costs from any refund due.
